Rose City Rollers Bout and Facilities Manager Job Description
Summary of Position:

The Bout and Facilities Manager oversees bout planning and execution and provides a high-quality experience for RCR fans and supporters, with a special focus on reaching desired event attendance and revenue goals.

Essential Duties and Responsibilities:
Bouts:
  • Plan and execute approximately 40 bouts per year (approx. 20 weekends) covering all teams and programs in collaboration with league leadership, ensuring all match-ups are competitive and engaging
  • Ensure all bouts are fan-centric, high quality, and meet safety requirements
  • Schedule, staff, oversee, train, and support bout volunteers and actively seek out/develop leaders
  • Create and maintain documentation for bouts and bout roles
  • Work with Marketing to ensure event information is consistent across all platforms
  • Manage all event logistics and documentation including, but not limited to: production lists, insurance waivers, city permitting, medic staffing, AV management, track maintenance, event money, volunteer stipend reporting, and talent management
  • Act as the contact between RCR and event vendors and ensure contracts are prepared in a timely manner
  • Manage online, paper, and group ticketing
  • Manage annual events/bouts budget in collaboration with executive director and Budget Finance Committee
  • Write and manage bout contracts between RCR and visiting teams for inter-league games
  • Function as on-site Bout Manager at least 90% of RCR bouts and schedule coverage as needed
  • Oversee RCR Events and Production Committees in collaboration with lead volunteer staff
    • Facilitate monthly meetings, provide agendas, voting ballots, and notes in a timely manner
    • Assign committee volunteer jobs as needed in collaboration with Operations Manager
    • Strive to develop leaders within the bout volunteer base
    • Evaluate utility and function of committees and make changes as necessary
Facilities:
  • Work with Oaks Park on issues related to the facility
  • Oversee fire permitting
  • Ensure necessities, including water, toilets, bout materials, etc are stocked/prepared and external factors like bootcamps and weather have been considered
  • Manage track maintenance crew
  • Work with teams to keep Hangar clean and organized
  • Receive and answer all calls pertaining to the venue including locked doors, restroom concerns, etc.
  • Communicate building closures due to weather or emergencies
Experience & Qualifications
  • At least two years work experience in event planning and managing event budgets
  • Preference given to applicants with experience and knowledge of hosting high-quality roller derby bouts according to WFTDA rules set and insurance standards, but knowledge of derby isn’t required
  • Management experience leading staff and/or volunteers
  • Proven track record of achieving revenue targets
  • Experience working within a diverse group
  • Willing and able to work frequent nights and weekends
  • Daily access to cell phone, personal computer, email, and internet
  • Reliable transportation to get to and from the Hangar
  • Proficient in Microsoft Office. Experience in SharePoint a plus.
  • Willing to undergo a background check

Reports to: Executive Director

Work Schedule: 
This role is salaried at 35hrs/week. Work often happens on weekends and evenings. Outside of 40+ events at the Hangar, work is done from a home officetypically M-F, 9-5. Phone accessible during all practices for facilities emergencies. Note: no vacations Jan-Jun in first year.

Compensation: 
$36,400 per year, reviewed annually. Benefits include paid vacation and sick time, OregonSaves retirement program, a flexible schedule, and a monthly tech stipend.
